Privacy Policy

This policy explains how SoundCare Chiropractic handles information collected through our website and any page that links to this policy. It applies to everyone who visits the site: prospective patients, current patients, and casual browsers alike.

Washington residents should also read our Consumer Health Data Privacy Policy, which we maintain as a separate document under the Washington My Health My Data Act (MHMDA), RCW 19.373. See Section 8 below.

This is not our Notice of Privacy Practices.

SoundCare is a health care provider covered by the federal Health Insurance Portability and Accountability Act (HIPAA). The medical records we create when we treat you, including your intake paperwork, examination findings, treatment notes, imaging, and billing records, are protected health information governed by HIPAA and by our separate Notice of Privacy Practices, not by this policy. You can read that Notice by requesting a copy at the front desk.

The practical line is this: information you give us through the website is governed by this policy until it becomes part of your patient record. Once it enters your record, HIPAA governs it.

Nothing on this website is medical advice, and using the site does not create a doctor-patient relationship.

Information you give us directly. When you submit our contact or new-patient form, we collect the information you type into it. That typically includes your name, phone number, email address, and whatever you choose to tell us about why you are reaching out. For example, that you were rear-ended on SR-522, that your lower back has been bothering you, or that you would like to be seen for whiplash symptoms. Please share only what you are comfortable sharing in an unencrypted web form. If you would rather discuss details by phone, call us at 425-215-1880.

Appointment requests. Our online scheduler is provided by Jane App. When you book through it, you provide information directly to that vendor, which processes it on our behalf and makes it available to us. The vendor’s own privacy terms also apply to that transaction.

Information collected automatically. Like most websites, ours records technical information when you visit: IP address, browser type and version, device type, operating system, referring URL, the pages you view, and the dates and times of your visits. Our hosting provider generates server logs containing this information as a routine matter.

Cookies and analytics. We use Google Analytics 4 to understand how visitors find and move through the site. Google Analytics sets cookies and similar identifiers that generate statistics about site traffic. Our cookie banner lets you accept or decline analytics cookies, and declining does not affect your ability to use the site or to contact us. Strictly necessary cookies, the ones that make the site function and remember your cookie choice, are always set. You can learn about Google’s practices at policies.google.com and opt out of Google Analytics entirely using Google’s browser add-on.

We do not run advertising or retargeting pixels on this site. We do not use Meta Pixel, Google Ads conversion tags, or similar advertising trackers. If that changes, we will update this policy and obtain your consent before collecting or sharing consumer health data for advertising purposes.

We do not collect payment information through this website.

We use website information to respond to your inquiry and contact you about an appointment; to schedule, confirm, and remind you of visits; to prepare for your first visit if you become a patient; to operate, secure, and troubleshoot the website; to understand aggregate traffic patterns and improve our content; and to comply with law and respond to lawful requests.

We do not use website information to make automated decisions that produce legal or similarly significant effects.

We keep website inquiries only as long as needed to respond and to document the contact, generally no more than 24 months if you do not become a patient. Analytics data is retained according to our Google Analytics configuration, currently [INSERT RETENTION SETTING]. Server logs are retained by our host on a rolling basis. Records that become part of your patient chart are retained under Washington’s health care records retention requirements, not this schedule.

We use HTTPS encryption across the site, maintain access controls on the systems that receive form submissions, and select vendors that maintain their own safeguards. No method of transmission over the internet is perfectly secure, and we cannot guarantee absolute security. This is why we ask you not to send detailed medical information through the website’s contact form.

This website is not directed to children under 13, and we do not knowingly collect personal information from them online. We do treat minor patients. That care is arranged by a parent or guardian and governed by HIPAA and Washington law, not by this website policy. If you believe a child has submitted information through our site, contact us and we will delete it.

We honor the Global Privacy Control (GPC) signal where our systems detect it, treating it as a withdrawal of consent to analytics cookies. Browser Do Not Track headers are not standardized, and we do not respond to them separately.

Our site links to third-party resources for informational purposes. We do not control those sites and are not responsible for their privacy practices.

We will post any changes here and update the last-updated date. If we begin collecting or sharing categories of consumer health data, or using it for purposes, not described in our Consumer Health Data Privacy Policy, we will disclose the change and obtain your affirmative consent before doing so, as the Act requires.
